How to Reconcile Invoice Quantities with a Packing List Before Export
What should be reconciled when invoice quantities and carton counts differ?
Start with the exact product and shipment
The invoice may describe units and value while the packing list shows cartons, weights and package contents. The two documents need to describe the same physical shipment at different levels.
Make the handoff actionable
Reconcile SKU quantity totals, unit of measure, package count, gross/net weight, marks and shipment references. Have the supplier issue corrected final versions and give the same versions to the broker and forwarder.
Confirm the boundary before cargo moves
Never silently edit a supplier document or submit a draft inconsistent with the cargo. Correct errors with the document issuer and keep a version-controlled final set.
Prepare a quote request
Include the product name and model, supplier city and pickup address, destination ZIP code, cargo-ready date, total pieces, packed dimensions and gross weight. State whether freight is palletized, stackable, temperature-sensitive or subject to special handling. For regulated or restricted goods, attach the current product documents and request written carrier review before delivery to the warehouse. Review the [relevant ANELGO service page](/services/battery-electronics-shipping.html) and send the details through the [shipment inquiry form](../index.html#quote).
