Shipping Trade Show Exhibits from China to the USA: Plan the Delivery Window

Event freight · Delivery planning · Reviewed October 16, 2026 · 4 minute read

Trade show cargo has a fixed delivery window and a receiving point that may differ from the venue’s public address. A shipment that reaches the city on time can still miss move-in if the booth number, advance warehouse cutoff, appointment or material-handling instructions are wrong.

Start with the exhibitor manual

Ask the event organizer for the current exhibitor service manual, advance warehouse address, direct-to-show-site dates, booth number, labels, appointment process and material-handling instructions. Confirm whether the venue accepts freight before the published window and what happens to early or late cargo.

Work backward from move-in

Share the event’s first move-in date, last acceptable delivery date and the time needed to unpack and install the display. Build in time for origin pickup, export handling, international transit, customs review and US delivery. Transit estimates are not guaranteed arrival dates; keep a contingency plan for critical booth materials.

Prepare a precise cargo list

Identify each crate or carton, its dimensions and weight, the exhibitor name, booth number, event name and onsite contact. Mark fragile or high-value items clearly and provide product descriptions and values for customs documents. Confirm who will receive, sign for and move each piece at the venue.

Decide the return plan before shipping

Determine whether goods will return to China, move to another event, or remain in the US. Ask the customs broker and event contractor what documents and handling steps are needed for the chosen plan. Do not assume that a forwarder’s export quote includes show-site labor, storage, empty-crate handling or return transport.

Request an event-specific route review

Send the event manual, origin, venue receiving address, booth details, cargo list and deadline through the [ANELGO inquiry form](../index.html#quote). Confirm in writing which transport and venue services can be arranged.
