A vessel’s transit time is only one part of the schedule. Before loading, the shipper and forwarder must coordinate the booking, final cargo data, document instructions, verified container weight and the terminal’s receiving window. Exact cutoffs vary by carrier, port, vessel and service, so use the booking-specific instructions rather than a generic calendar.

Set the dates you actually need

Write down the warehouse delivery deadline, event or production date, cargo-ready date and acceptable delay buffer. Clarify whether the requirement is port arrival, customs release or delivery to the final address; these are different milestones. Share the US destination ZIP code and receiving constraints before selecting a service.

Confirm space and equipment before dispatch

Request the booking confirmation, vessel and voyage when assigned, container type, port of loading, route, estimated departure and arrival, origin receiving location, and the relevant cutoffs. Do not send cargo to a terminal or warehouse until the responsible provider confirms where and when it will be accepted.

Prepare documents and security data early

Ask the broker or filing party which importer, supplier, commodity and routing data it needs and by what deadline. Provide accurate invoice and packing-list details. For US-bound ocean cargo, coordinate the Importer Security Filing with the responsible broker and ensure it is filed within the applicable CBP timing requirement.

Track each operational cutoff

The booking instructions may specify separate shipping-instruction (SI) cutoff, VGM submission cutoff, container-yard (CY) gate-in deadline or LCL warehouse receiving cutoff. Assign an owner and due date to each. If packing or quantity changes, notify the forwarder and broker immediately so they can update filings, rates and documents.

Request a shipment calendar

Send cargo-ready date, origin, final destination, cargo type, packed dimensions and required delivery date through the [ANELGO inquiry form](../index.html#quote). Ask for a written milestone plan with owners, local time zones and a contingency option.
